The Fairfax Christian School will rent space to private and non-profit organizations.  Organizations are required to provide a copy of their business license or non-profit status and proof of insurance for all events held on the Fairfax Christian School campus and/or in it's associated structures.

Policies

The Fairfax Christian School will rent space to private and non-profit organizations.  Organizations are required to provide a copy of their business license or non-profit status and proof of insurance for all events held on the Fairfax Christian School campus and/or in it's associated structures.

Rental fees cover the use of basic equipment located in the rented area (chairs, desks, tables, etc).  Parking is only provided during the time the organization uses the facilities, abandoned vehicles will be seen as an extension of the rental period.

Users are required to furnish proof of liability insurance coverage with minimum policy limits of $1,000,000 and shall name The Fairfax Christian School, Inc., as an additional named insured on said policy. In addition, Users shall indemnify and hold harmless The Fairfax Christian School, Inc., its members, officers and employees from and against any and all liabilities, damages, costs and expenses (including attorneys’ fees) arising out of user’s use of the Fairfax Christian School's facilities. No unauthorized third party shall be granted permission to use the facility or any portion thereof without
prior approval.

All users must apply for usage at least 15 business days prior to use. If Loudoun County Public Schools has cancelled activities due to inclement weather, all events at the Fairfax Christian School campus will be cancelled. The school will work with the user to reschedule the event.

Payment by check is due at least ten business days prior to the event. If not received by due date, a 10% late penalty fee will be assessed. In the event the collection of fees must be referred to an attorney, the user shall pay the Fairfax Christian School's attorneys’ fees, whether litigation is filed or not.

Only minimal support services such as unlocking doors and turning on lights are included. Additional personnel services are available and must be requested, scheduled and paid for by the user.  Additional services may include:  opening and closing the building during irregular business hours; set–up of an area prior to use and clean–up of an area after use;  clean–up fee is mandatory if the event has more than 150 people in attendance;  use of kitchen facilities;  help with lighting, audio and video equipment; supervising large groups; and use of other school equipment.

All users must ensure that prior approval is received before signs, flags, banners and pennants are erected and that they do not deface school property. All promotional materials, must clearly identify the user as the event host making use of the Fairfax Christian School facilities, and shall disclaim conspicuously any sponsorship or endorsement on the part of the Fairfax Christian School. Photography is not permitted without written permission. Drones are not permitted on the Fairfax Christian School campus.

All users must ensure that they and their participants only occupy their assigned areas and that the capacity of the area is not exceeded. No one under age 18 may be left alone on the campus and all children must be chaperoned at all times. Vehicles of participants must be parked only in areas designated for parking and only during the time which the user/organization has use of the facility.

Food and drink are not permitted without receiving written permission in advance of the event. Food and drink and not permitted in classrooms.

Tobacco products including smoking devices, alcoholic beverages, illegal drugs and gambling are prohibited on the Fairfax Christian School campus.

Animals are not permitted on the Fairfax Christian School campus (except as in the case of a guide dog or service animal that is necessary to help an individual with a disability).

All users must observe contracted time limits and leave the building in a neat and orderly condition. All users are responsible for costs associated with damages and expenses (including attorneys’ fees) arising out of user’s use of the Fairfax Christian School facilities.

All users must guarantee that activities shall be orderly and lawful, will not be of a nature to incite others to disorder and must demonstrate on the application that reasonable security arrangements appropriate for the use have been provided for. All users must comply with all federal, state, and local laws, regulations and licensing requirements. All users must comply with safety regulations and policies of the Fairfax Christian School and the County Fire Department. 

Rates

Classroom (capacity 10-30 people)
$100 minimum for 2 hours use per classroom. $50 for each additional hour per classroom.
$1,000 non-refundable up-front rental payment required. Any balance unused after a year from the start date is forfeited.

Discounted rates may apply to those using the facilities for tutoring or private lessons for the Fairfax Christian School's students.

Library (capacity 49 people)
$200 minimum for 2 hours use per event.  $100 for each additional hour.
$2,000 non-refundable up-front rental payment required. Any balance unused after a year from the start date is forfeited.

The Hall (capacity 435 people)
$300 minimum for 2 hours use per event.  $150 for each additional hour.
$2,000 non-refundable up-front rental payment required. Any balance unused after a year from the start date is forfeited.

Gymnasium (capacity 567 people)
$250 minimum for 2 hours use per event.  $125 for each additional hour.
$4,000 non-refundable up-front rental payment required. Any balance unused after a year from the start date is forfeited.

Athletic Field (does not include any indoor access or usage)
$200 minimum for 2 hours use per event.  $100 for each additional hour.
$6,000 non-refundable up-front rental payment required. Any balance unused after a year from the start date is forfeited.

Additional mandatory clean–up fee for events with over 150 people: Minimum $50

Security deposit for keys and property damage: $300

All fees are calculated in hourly increments only.
